  2. Student education record: we may collect students’ PII if users opt to submit and/or upload them into our system. We store the records securely on Amazon Web Services, until the user opts to delete the case or the authorized consenter of the record (parent/guardian/student of age) withdraws consent.

  3. Guardian Information: We may collect PII from parents or guardians, including names and email addresses. This information is provided directly by the guardian at consent request workflow.

  4. Usage Data: We may collect non-personal information related to users’ website usage, such as IP addresses, browser types, and operating systems.

2. How We Use Your Information

We use the information collected for the following purposes:

  • Provide services to authorized school officials and support staff

  • Communicate with parents and authorized school officials

  • Improve our website, services, and user experience

  • Compliance with authorized government entities if needed per FERPA re-disclosure laws

  • Send relevant updates and notifications to users about product updates

  • De-identify records for research and development of features and improve services

3. Information Security

We use FERPA-compliant security measures within our cloud-based infrastructure to protect against unauthorized access, disclosure, or alteration. We do not share or transfer any user or case-data to external parties where storage is not stateless.

4. Sharing of Information

We do not sell, trade, or otherwise transfer any student or guardian data to third parties. We will use only the necessary information from users of the system required for billing transactions. We will only re-disclose student records if required to per FERPA regulations.

5. Consent and Control

Parents, guardians, and students have the right to review, update, or delete their personal information. To exercise these rights or to withdraw consent, a parent/guardian may use the original consent request form to provide a reject request (which will trigger auto-delete functions), or contact their respective school officials to delete the case. This is in accordance to requirements including but not limited to: California Consumer Privacy Act, California Privacy Rights Act, Colorado Privacy Act, and Virginia Consumer Data Protection Act.

6. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal compliance. We will notify users of any material changes via email or our website.
